How do you compare email signature software in Canada?

A useful comparison for a Canadian organization weights the criteria differently. Marketing features exist everywhere; what truly separates solutions in Canada is how they handle data. Here are the eight criteria we use:

• Hosting and data residency — does the vendor keep your data in Canada?
• Law 25 alignment — does the architecture avoid transferring personal information outside Quebec?
• Client-side or server-side architecture — does the email leave Microsoft 365 to receive its signature?
• Price — real per-user cost, all included.
• Language — interface and support in Canadian French.
• Outlook platforms — desktop, web, Mac and mobile.
• Targeting — assigning signatures by Microsoft 365 group.
• Support — responsiveness and time zone.

Strengths and limits of each solution

Its strengths: 100% Canadian hosting, a client-side Outlook add-in (the email never leaves Microsoft), native English/French Canadian bilingualism, real-time data via Microsoft Graph, a visual editor and a single price of CAD $1 per user. Its limits: a more focused marketing feature catalogue than the largest leaders, and a younger ecosystem.

Exclaimer

The global market leader. Very rich in marketing banners, campaigns, click analytics and templates. A mature platform proven at scale. Its limits for Canada: a server-side architecture (every email passes through its servers), data residency outside Canada by default, and tiered pricing in US dollars. CodeTwo

A very well-rated vendor with a strong support reputation and volume-based pricing that favours large fleets. Server-side or hybrid depending on the product. WiseStamp and Newoldstamp

Two solutions mostly aimed at small teams and individual marketing. They handle client-side creation of attractive signatures well, but their group targeting and Microsoft 365 integration stay lighter, and their hosting is US-based. WiseStamp charges a monthly plan plus a per-employee amount.

Native Microsoft 365 signature

What does it really cost per user?

The advertised cost often hides tiers, user minimums and features reserved for higher plans. Here are the public reference points at the time of writing:

1. Exclaimer — from USD $0.90 (Starter) to USD $1.75 (Pro) per user per month, billed annually, 10-user minimum.
2. CodeTwo — volume-based pricing from about USD $1.22 (10–25 users) down to USD $0.73 (500 users) per month on an annual plan, 10-licence minimum.

Beyond the sticker price, compare what is included: a low entry rate quickly becomes more expensive if the features you need sit in the higher tier.
