ATOM Solutions is the Quebec company that designs and publishes ATOM Signatures, a centralized email signature management solution for Microsoft 365 and Outlook. We build a tool designed first for Quebec and Canadian organizations: hosting on Canadian soil, Law 25 compliance, and native French-English bilingualism.
Our mission
ATOM Solutions exists to give Quebec and Canadian organizations back control over their email data. Too many everyday tools quietly route personal information through foreign servers without the organization even noticing, leaving it exposed to legal regimes it never chose. The email signature — present on every message an organization sends — is a striking and often overlooked example.
We built ATOM Signatures around three convictions:
- Data sovereignty: a Quebec organization's information should stay in Canada, under a Canadian legal regime.
- Simple compliance: meeting Law 25 should not require an engineering project — it should follow from the tool's architecture.
- Respect for language: a solution used in Quebec must speak French properly, from the interface to support.
What ATOM Signatures does
ATOM Signatures centralizes the creation, deployment and updating of an organization's Microsoft 365 email signatures. An administrator designs one or more signatures in a visual editor, targets them at the right employees, and the tool inserts them automatically into Outlook.
- Visual editor: compose signatures without code, with logo, contact details, social links and banners.
- Targeting by Microsoft 365 groups: one signature per department, branch or role, applied to the right people through existing groups.
- Real-time data: name, title and contact details are read from the organization's directory via Microsoft Graph, read-only.
- Cross-platform: Outlook on Windows, Mac, the web and mobile (iOS and Android).
- Single price: CAD $1 per user per month, everything included.
The add-in covers the full lifecycle: when an employee joins or leaves the organization, their signature follows automatically, with no manual work on each device and no dependency on a personal file left on a single computer. Administrators keep one source of truth, and every employee sends a consistent, up-to-date signature.
Why Quebec and Law 25
Law 25 modernized the obligations of Quebec organizations regarding the protection of personal information. An email signature almost always contains personal information: name, title, phone number, sometimes a photo. That data therefore falls within the scope of the law.
We made this reality the starting point of the product rather than a checkbox added afterward. In practice, that means hosting data in Canada, an architecture that avoids transferring email content out of the country, and minimal permissions on the organization's data. Quebec is not just another market for us: it is the context the tool was designed for, and it shapes every decision — from where servers sit to which language a support reply is written in.
ATOM Signatures is a tool; it helps reduce the exposure tied to signatures, but the information on this page does not constitute legal advice. To assess your compliance, consult a legal advisor or the Commission d'accès à l'information.
Our technical approach
Three architectural choices set ATOM Signatures apart and follow directly from our mission:
| Principle | What it means | Why it matters |
|---|---|---|
| Client-side, no routing | The signature is inserted by an add-in in Outlook, at compose time | The email never leaves Microsoft 365 — no relay through our servers |
| Canadian hosting | Configuration data is hosted in Canada | Avoids transferring personal information out of the country |
| Minimal Graph permissions | Read-only access to the strictly necessary directory data | Least privilege: we ask only for what is needed to compose the signature |
This difference is fundamental. In a server-side approach, every outgoing message is routed through the vendor's servers to receive its signature — exposing the email content to a third party. ATOM works client-side: the add-in acts inside Outlook, at the moment the employee writes their message. To understand this distinction in detail, see our email signature glossary.
